Missed Call Text Message Templates for Contractors
These templates are intentionally short, plainspoken, and SMS-friendly. They do not commit to quotes, scheduling, or arrival times — those are owner decisions, not text decisions. Use them as a starting point, then adapt the wording to how you actually talk to customers.

Plumbing template
- •First text: "Hi, this is [Business Name] Plumbing. Sorry we missed your call — what’s the address and what’s going on?"

HVAC template
- •First text: "Hi, this is [Business Name] HVAC. Sorry we missed your call — what’s the address and is the system heating/cooling at all?"
- •Follow-up: "When did the issue start? We’ll follow up by phone."
Roofing template
- •First text: "Hi, this is [Business Name] Roofing. Sorry we missed your call — what’s the address and what’s going on with the roof?"
- •Follow-up: "Is water coming in right now, or is this for an inspection or quote?"
Towing template
- •First text: "Hi, this is [Business Name] Towing. Sorry we missed your call. Where is the vehicle?"
- •Follow-up: "Where does it need to go, and what kind of vehicle is it? If anyone is in danger, please call 911 first."
Cleaning template
- •First text: "Hi, this is [Business Name] Cleaning. Sorry we missed your call — what’s the address and what kind of clean are you looking for (residential, post-construction, move-out)?"
- •Follow-up: "How many bedrooms/baths, and is this a one-time or recurring clean?"
Concrete template
- •First text: "Hi, this is [Business Name] Concrete. Sorry we missed your call — what’s the address and what kind of concrete work are you considering (slab, driveway, patio, repair)?"
- •Follow-up: "Rough square footage if you know it? Looking for new concrete, repair, or tear-out and replace?"
Junk removal template
- •First text: "Hi, this is [Business Name] Junk Removal. Sorry we missed your call — what’s the address and what are you looking to haul?"
- •Follow-up: "Roughly how much (truck load, half load, single item)? We’ll follow up by phone."
Quick rules for missed-call templates
- •Keep it under two sentences. Long texts get ignored.
- •Always include the business name so the caller knows who replied.
- •Ask one specific follow-up question — don’t open-end it.
- •Don’t commit to pricing, arrival times, or booking by text.
- •Don’t use ALL CAPS or emoji-heavy wording. Plainspoken wins.
